Regulations for the use of the Sayaspora space – Rental

Sayaspora’s premises are a community space located in the heart of Montreal, designed to be a true hub for creation, collaboration, and expression. Designed as a vibrant and inspiring space, it embodies Sayaspora’s mission: to amplify voices, promote talent, and encourage initiatives led by members of our community.

With this in mind, the space is made available on an ad hoc basis for external activities, primarily professional, creative, or collaborative. This document aims to govern the use of this space to ensure a respectful, safe, and value-aware environment.

1. Maximum Capacity

Maximum capacity: 30 people (seated or standing).

2. Types of Authorized Events

Events must be professional, community-based, or related to content creation. Private parties are permitted with exceptions, subject to prior approval from Sayaspora. Noisy or festive events are not permitted. Loud music is not permitted. All events must be approved by the Sayaspora team prior to booking.

3. Equipment Available on Site

Included in the rental, in addition to the equipment shown in the photos: 30 chairs, 2 large display tables, 1 Bluetooth speaker, 1 microphone, 1 lectern, 1 lighting set, and 1 photo backdrop.

4. Access Conditions

Renters will receive an email with instructions 24 hours before booking. The space is located in the semi-basement, with no elevator (approximately 10 steps). No private parking is provided. Paid parking is available across the street.

5. Rates

– Weekdays (6 pm–10 pm): $100/hour
– Weekends (10 am–10 pm): $125/hour
– Non-profit/charity rate: 15% off upon presentation of proof

6. Security Deposit

A $150 CAD security deposit is required. It is refundable within 7 business days of the event, subject to compliance with regulations.

7. Cancellation Policy

  • Cancellation up to 14 days before the reservation date: Full refund of the amount paid or the option to postpone the reservation to a later date, subject to availability.
  • Cancellation between 7 and 13 days before the reservation date: 50% refund of the amount paid or the option to postpone the reservation to a later date, subject to availability.
  • Cancellation within 7 days of the reservation date: No refund will be issued, but the reservation may be postponed to a later date, subject to availability.

In the event of cancellation by Sayaspora due to an emergency or for reasons beyond its control: Full refund of the amount paid or the option to postpone the reservation to a later date. later date, subject to availability.

It is important to note that all cancellations must be made in writing (by email and confirmed in writing only: Sayasporareservation@gmail.com). Rescheduling a reservation to a later date can only be done once, after which no further cancellations or postponements will be possible.

8. Rules of Use, Rental Conditions, and Responsibilities

  • The space must be left clean;
  • All garbage must be removed;
  • Smoking is strictly prohibited in the rented premises, as is the use of a smoke machine. If applicable, you will be charged a $1,000 fee.
  • No hanging on the walls/ceilings without authorization;
  • The sale of alcohol is strictly prohibited in the Space unless otherwise stated;
  • The Renter agrees to comply with Public Health regulations, and Sayaspora is in no way responsible for the actions of the Renter and their guests during the rental of the Sayaspora space;
  • It is strictly forbidden to use confetti or real flower petals in

the Sayaspora space; otherwise, you will be charged an additional cleaning fee of $200;

  • Sound must be kept at an acceptable and reasonable level. The noise generated by the event must be kept at an acceptable level, and the Renter agrees to stop any noise likely to disturb the peace.
  • Use of and access to the Sayaspora space is permitted only for the period covered by the rental agreement, unless otherwise notified in writing. Any additional use will be charged at $200 per hour. The event must end no later than 10 p.m.
  • The tenant is responsible for any broken or missing property or fixtures, as well as any damage to the space or building during the rental period. In the event of damage, loss, or deterioration, the tenant agrees to cover the repair or replacement costs necessary to restore the space and fixtures to their original condition.
  • Sayaspora declines all responsibility for the loss or theft of personal belongings.
  • Sayaspora reserves the right to cancel the event at any time without compensation during the event in the event of disturbance, loss of control, or other reasons.

Monday to Friday, 6 p.m. to 10 p.m. and weekends from 10 a.m. to 10 p.m.

  • Are pets allowed?

No, pets are not allowed.

  • What are the cleaning and tidying up requirements for the room after the session?

We ask that you leave the space as you found it after your visit. We will take care of the major cleaning, but we ask that you take out your trash and leave no trash behind. Specific instructions regarding trash disposal will be provided at the time of your reservation.
