Description of the organization

Sayaspora is a media outlet that amplifies the voices of women from the African diaspora in Canada. Created in 2015 in Montreal, Sayaspora was founded on the belief in the power of representation as a tool for social change and inspiration.

Managed, conceived, and led by women of African descent living in Canada who work for the good and development of their community, Sayaspora’s mission is to empower women from the African diaspora through a community, safe spaces, and resources that contribute to their personal, professional, and cultural well-being. Today, Sayaspora is an online network of more than 20,000 people with a predominantly female and young (18- 35 years old) audience.

Position description

Sayaspora is currently seeking an administrative assistant for 15 hours a week, specialized in coordination or administrative support, ideally in an NPO or community environment.

The person will have to…

  • Provide administrative support to general management in the management of the organization
  • Prepare and format internal documents (memos, letters, presentations)
  • File and archive administrative documents (digital and paper)
  • Follow-up e-mails (replies, reminders, arranging appointments)
  • Support meeting preparation (agendas, invitations, note-taking, room reservations)
  • Gather or organize certain documents for reporting purposes or simple financial follow-ups
  • Help improve internal administrative processes and propose follow-up tools
  • Ensure day-to-day management of the office during face-to-face days (Wednesdays and Fridays)
  • Ensure the organization, cleanliness and smooth running of the workspace
  • Welcome coworking space tenants and visitors with professionalism
  • Manage the coworking space's booking calendar and one-off events
  • Manage rental logistics (keys, equipment, payments, basic invoicing)
  • Update space management documents (rental contracts, usage regulations, etc.)
  • Collaborate on an ad hoc basis with other team members for logistical or administrative needs.

Ideally, the person will have…

  • Experience in coordination or administrative support, ideally in an NPO or community environment
  • Excellent command of written French; good writing skills
  • Proficiency with Microsoft Office suite tools
  • Strong sense of organization, rigor and autonomy
  • Ability to interact with a variety of audiences in a professional and caring manner
  • Interest in the values of inclusion, social justice and interculturality
  • Availability Wednesdays and Fridays in person at the office (Montreal)

Position features
